Background
Before implementing Jakamo, orders and order changes were managed manually via email. First, the purchase order had to be created in the ERP system. Then, the purchaser generated and saved a PDF of the order, which was sent to the supplier by email. When suppliers confirmed the order, the purchaser had to locate the confirmation in their email and manually update the confirmed values in the ERP.
“ This process involved a significant amount of manual work, making it inefficient, slow, and prone to errors” , says Jarkko Vuontelo – Development Manager, Supply Chain.
If the purchaser was sick or on holiday, the situation became even more challenging because all the information was stored in that person’s personal email inbox. To address these issues, Raute decided to implement Jakamo’s Sourcing and Purchasing features and establish purchase order integration between Jakamo and their ERP to enable meaningful improvements.

Speed Increase
With Jakamo, the entire order and confirmation process is automated. Orders are sent through the platform, suppliers confirm them, and buyers are immediately notified of any changes. For example, we implemented first Jakamo suppliers to Jakamo in Q2/2024 and at the end of year about every fourth of PO lines were processed using Jakamo. At the end of 2025 over rate was over 60%.
“ Sending a single purchase order via Jakamo is only couple clicks away, comparing old way: get printout away, save and send it via email . In addition, t he order confirmation process is now more than 10 times faster compared to the old email- based method,” says Jarkko. Raute also has data showing that suppliers perform better when using Jakamo. For instance, the order confirmation rate consistently increased a lot in some categories. One good example was supplier which confirmation rate was around 70%, but after Jakamo implementation it increased to over 98%.
The improvements extend beyond sourcing. Jarkko explains: “When there are fewer human errors in orders, it has significantly reduced the workload for our accounting team, as there are fewer discrepancies between ordered and invoiced lines.” Resolving an error typically took about five minutes of both the accountant’s and purchaser’s time after the accountant contacts the purchaser, so now the entire internal flow is faster, according to Jarkko.
As a result, implementing Jakamo has delivered a significant productivity boost, as most of Rautes’s purchase orders are now handled through Jakamo. “With Jakamo, our procure to pay process is now fully transparent and faster than before . We have complete visibility, streamlined processes, and a level of efficiency that transforms the way we operate” , says Jarkko.

Time reallocation
When purchasers’ time was freed from manual duplicate work, it was reallocated to more value-adding activities. “Now our purchasing team has time for important tasks that were previously impossible due to the manual workload. Their focus has shifted to improving supplier performance , and t he results are already visible. Jakamo-suppliers’ on-time delivery rates and order confirmation rates have improved totally nearly 15% , and the number of claims has decreased at the same time”, says Jarkko.
This reallocation has also been warmly welcomed by the purchasers. “The meaningfulness of work and employee satisfaction has increased as unnecessary and constantly repetitive manual tasks have been eliminated,” Jarkko adds.

Further expansion already in mind
Since Jakamo has improved transparency, streamlined processes, enhanced supplier performance, and reduced time spent on repetitive manual tasks and issue investigations, Raute is now planning to improve its internal processes. “We are very satisfied with the results Jakamo has delivered, and we are also looking possibilities for another Jakamo functionalities,” says Jarkko.
Currently, Raute is testing Jakamo’s Engineering Changes Module to streamline internal processes for managing engineering changes. “At this point we can already see that this will enhance transparency for the colleagues and stakeholders and collect us valuable data for better analysis,” Jarkko explains.
