Background
Operative purchasing at Fortaco relied heavily on email for purchase orders, confirmations and communication. Around 80 % of all purchase orders were confirmed as requested by suppliers and required no further action — yet they still flooded the inbox.
“It was always depressing to open my inbox in the morning and see hundreds of messages. Important emails could easily get lost in the flow,” says Janne Leppinen, Purchaser at Fortaco. Manual double work between email and ERP consumed hours daily for each purchaser. All data was tied to individual employees, making holiday arrangements complicated and inefficient.
Jakamo didn’t just automate the existing process — it introduced a comprehensive ecosystem that already included 79 % of Fortaco’s suppliers. Jakamo also promised better supplier performance and enhanced collaboration, which Fortaco welcomed enthusiastically.

Fast and smooth implementation
Implementation began in early June, and full-scale use was launched by September — exactly as planned. Despite taking place during peak summer vacation, the onboarding stayed on track.
“We were positively surprised by how easy and fast the implementation was. Even the technical aspects were simple to understand, and the entire process was clearly well-designed by Jakamo. It was obvious this wasn’t their first rollout!” says Mikko Oksanen, Purchasing Manager at Fortaco.
Thanks to Jakamo’s onboarding support, the rollout — including integration, data setup, and training for both employees and suppliers — was completed seamlessly.
“After two weeks of go-live, approximately 80 % of our annual purchase order lines are transferred via Jakamo,” says Mikko.

3x speed increase from the day one
With Jakamo, the entire order and confirmation process is automated. Orders are sent through the platform, suppliers confirm the orders, and buyers are notified of any changes.
“Our ERP system is always up to date. Suppliers confirm orders the same day — three times faster than before — and the data is automatically transferred to ERP,” says Mikko.
“It’s also much easier to find and manage changed orders,” adds Janne. Even during holidays, substitutes can step in without disruption.

Purchasers’ Time Reallocated to Value-Adding Work
With smoother processes and better-performing suppliers, purchasers can focus on strategic tasks.
“Jakamo has eliminated repetitive email exchanges and freed up time for more value-adding work, like supply chain management,” says Mikko.

Improved Employee Satisfaction
Manual double work between email and ERP has been significantly reduced.
“I’ve already noticed that the old necessary but tedious double work is gone, and my inbox isn’t overflowing anymore” says Janne.
“Employee satisfaction has clearly improved after Jakamo implementation”, adds Mikko.
